The real specification is sameness
Hotels buy mattresses differently from anyone else, even if they do not always realise it. A hostel wants durability. A home buyer wants comfort. A hotel wants the same experience in every room, and again after next year's refurbishment.
A guest who sleeps well in one of your rooms and badly in another does not blame the mattress. They blame the hotel. And guest reviews mention beds far more often than most owners expect.
That makes consistency between batches the most important thing you are buying — more important than any single material choice. A slightly less luxurious mattress that is identical in every room beats a better one that varies.
Sample in the room, not in the office
Mattresses tested in a showroom or a meeting room are judged in the wrong conditions: sitting on the edge, pressing with a hand, for a minute. Guests lie down for eight hours.
Put sample mattresses into real rooms and have staff — or trusted regular guests — sleep on them for several nights. Try more than one firmness if you are unsure. It costs a few nights of rooms and prevents a decision that lasts for years.
The same applies to pillows. Nobody can judge a pillow in ten seconds.
Lock the specification in writing
Once you have chosen, write down exactly what you chose: the construction of every layer, the cover fabric, the quilting pattern, the border, the size list. Agree it with the manufacturer and keep the approved sample.
This is what makes a repeat order possible. Eighteen months later, when you add a floor or replace damaged mattresses, "same as last time" should mean something checkable rather than something remembered.

Fibre pillows are soft and familiar but vary in fill and flatten with use and laundering. Moulded foam pillows hold their shape and weight piece to piece, which suits a programme where every room should be the same. Covers, protectors and laundry
Hotel mattresses live under protectors, but covers still matter: they determine how the mattress looks when housekeeping changes the bed, how it survives being turned, and how it ages.
Plan for protectors from the start and choose a mattress cover that suits your housekeeping routine. Ask whether replacement covers can be supplied, since a damaged cover on an otherwise sound mattress is a cheap fix if planned for.
Planning refurbishment
Every room programme eventually needs replacing, and the worst time to discover your mattress is no longer available is during a refurbishment deadline. When you place the original order, ask how long the specification can be supplied, and keep the approved samples and written specification somewhere that survives staff changes.
